Information we collect
We collect information in the following categories:
- Contact and intake information. Name, work email, company, role, domain, category, package interest, and messages you submit through forms or email.
- Business and project information. Brand names, domains, competitor lists, buyer-intent prompts, target categories, AI/search surfaces, source lists, and other information you provide so we can scope and deliver work.
- Account information. Workspace users, login/session data, preferences, billing status, project settings, and support requests if you use a workspace or dashboard.

- Communications. Emails, form messages, meeting notes, approvals, feedback, and support history.
Please do not submit sensitive personal information unless we specifically request it and you have a lawful basis to provide it.
How we use information
- To respond to enquiries and qualify whether AI Ranking Pro is a fit.
- To scope, prepare, deliver, and support AI Visibility Snapshots, Monitoring, Sprints, and related deliverables.
- To run agreed tests against buyer-intent prompts, AI/search surfaces, domains, competitors, sources, and public web pages.
- To maintain evidence, QA status, approvals, and audit trails for our findings.
- To operate, secure, troubleshoot, and improve the website, workspace, and internal workflows.

- To send service messages, such as intake follow-ups, report delivery, account notices, and support responses.
- To send marketing only where permitted by law or consent, and to honor opt-outs.
- To comply with legal obligations and enforce agreements.
Legal bases
Where privacy laws require a legal basis, we rely on one or more of the following: performance of a contract or pre-contract request; legitimate interests in operating, securing, improving, and marketing the service; consent for optional cookies or marketing where required; and compliance with legal obligations.
AI visibility evidence
Our work is evidence-reviewed. We may capture prompts, AI/search responses, screenshots, citations, source URLs, timestamps, and notes showing how a brand or competitor appeared at the time of testing. These captures may include your brand, your competitors, and public information from third-party websites or AI/search surfaces.
- We use evidence captures to support findings, reduce unsupported claims, and provide a repeatable baseline.
- We do not publish your private audit, competitor list, evidence appendix, or project findings as a case study without your permission.
- We may use aggregated or anonymized patterns to improve methodology, provided they do not identify you or reveal confidential project details.
- AI/search systems change frequently. Evidence captures reflect observed results at the time they were collected.
Sharing & subprocessors
We do not sell personal data. We share information only as needed to run the business and deliver the service:
- Service providers. Hosting, analytics, email, payment, security, automation, storage, and customer-support vendors that process data for us.
- Professional advisers. Accountants, lawyers, auditors, or insurers where reasonably necessary.
- Legal and safety reasons. To comply with law, enforce terms, prevent abuse, or protect rights and security.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may transfer as part of that transaction.
Where required, we use appropriate data-processing terms with vendors and require them to protect information and use it only for the services they provide to us.
Retention
We keep information only as long as reasonably needed for the purposes above, unless a longer period is required by law:
- Unconverted enquiries: usually deleted or anonymized within 12 months.
- Audit deliverables and evidence: retained for the engagement and up to 24 months afterward unless a longer retention period is agreed or legally required.
- Account and workspace data: retained while the account is active and for a reasonable period after closure for backup, audit, and dispute purposes.
- Billing and tax records: retained as required by law.
- Cookie choices and technical logs: retained for limited operational periods unless needed for security or legal reasons.
Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to processing, export your data, withdraw consent, or opt out of certain uses. To make a request, contact us at [email protected] or through the contact form. We may need to verify your identity before responding.
You may also have the right to complain to a data-protection authority. We encourage you to contact us first so we can try to resolve the issue.
Cookies
We use necessary cookies and local storage for core functionality and optional cookies for analytics or marketing only where permitted. See the Cookie Policy for details and use “Cookie settings” in the footer to change preferences.
Security
We use reasonable administrative, technical, and organizational safeguards, including encryption in transit, access controls, and least-privilege practices. No system is perfectly secure, but we work to protect information and will notify affected users or authorities when legally required.
International transfers
We and our vendors may process information in countries other than where you are located. Where required, we use appropriate safeguards for international transfers, such as contractual protections or other lawful transfer mechanisms.
Children
AI Ranking Pro is intended for business users and is not directed to children. We do not knowingly collect personal data from children.
Changes to this policy
We may update this policy as our services, vendors, or legal requirements change. We will update the “Last updated” date and provide additional notice for material changes where required.
